Overview:

Swindon Armed Forces Day is a significant annual event that honours and celebrates the contributions of our Armed Forces. The event brings the Swindon community together to express gratitude and support for the men and women who serve in the military. The organising committee plays a pivotal role in ensuring the success of this event, and we are seeking dedicated individuals with some knowledge and experience in event planning to join our team for 2025, especially to signify the end of World War II, 80th Anniversary commemoration.

1. Chairperson: The Chairperson will be the driving force behind the committee, providing leadership and guidance to ensure the overall success of Swindon Armed Forces Day event in 2025.

Key responsibilities include:

· Preside over committee meetings and ensure effective communication among members.

· Provide strategic direction for the event and oversee the execution of plans.

· Liaise with external stakeholders, sponsors, and partners.

· Act as the primary spokesperson for the committee.

2. Treasurer: The Treasurer will be responsible for managing the financial aspects of Swindon Armed Forces Day event in 2025.

This role involves:

· Developing and managing the event budget.

· Tracking income and expenses, maintaining accurate financial records.

· Liaising with sponsors and donors for financial contributions.

· Providing regular financial updates to the committee.

3. Secretary: The Secretary will play a crucial role in maintaining organised and efficient operations within the committee.

Responsibilities include:

· Record and distribute meeting minutes and agendas.

· Manage committee correspondence and maintain official records.

· Coordinate logistics for meetings and events.

· Support communication within the committee and with external parties.

4. General Committee Members: General Committee Members will actively contribute to the planning and execution of Swindon Armed Forces Day event in 2025.

Individuals in this role will:

· Assist in various aspects of event planning, such as logistics, stallholder management, marketing, and volunteer coordination.

· Participate in regular committee meetings and provide input on decision-making.

· Engage with the local community to promote and garner support for the event.

· Contribute their skills and expertise to enhance the overall success of the event.

Desired Qualifications: (but not essential)

· Previous experience in fundraising, event planning or committee management.

· Strong organisational and communication skills.

· Ability to work collaboratively in a team environment.

· Knowledge of the local community and willingness to participate alongside various groups.

· Passion for supporting and honouring the Armed Forces and affiliated military organisations, such as the Gurkhas.

Time Commitment:

Committee members are expected to dedicate a few hours per week leading up to the event, with increased time commitments closer to the event date and on the day itself.

· The committee will meet regularly to plan, organise, and execute various aspects of Armed Forces Day, most suitable to the members involved. This could include occasional daytime, evenings, or the odd weekend.
